Rental Agreement

Introduction

            Thank you for choosing Sandpiper Cove Condo 1033 to spend your vacation.  Our rental policies are vital to our ability to offer a clean, quality accommodation.  Our policies are designed to protect our guests as well as our investment.  Your vacation is very important to us and we promise to make every reasonable effort to make your stay enjoyable.  We respectfully request that guests abide by the following rental conditions.  Thank you for your cooperation.

Rental Guest Policies/ Procedures

Rental agreement   It is the responsibility of the named party (parties) in the agreement to be sure that all rules and regulations in the agreement, and of the Condo Association are followed, by all guests whether registered in the rental unit or not, during the stay.  Failure to comply with the rules and regulations can result in additional charges or eviction without refund in accordance with Florida Statute 509.141

    Family Rentals Only:All rental units must be occupied by an adult, over the age of 25.  Parents are not allowed to check-in and leave, they are responsible for the actions of their children, and must stay at the property throughout the duration of the scheduled stay.  Sandpiper Cove is a mix-use community that includes both short-term guests and year round residents.  Sandpiper Cove Security monitors rental units for violations of this policy.  All violators will be evicted with all rental payments being forfeited!

 Falsified Reservations:Any reservation obtained under false pretense will result in immediate cancellation and/or eviction with NO refund. 


 Occupancy Limits:  Florida State Licensing Regulations require occupancy limits based upon square footage of the condo or home and sleeping accommodations. Therefore, the number of guests must not exceed 4 persons.  If the occupancy limits are exceeded, then guests will be asked to check out and full deposit and rental fee will be forfeited.

 

Reservations & Payments

Reservations:  Reservations are made on a first come first served basis.  A written confirmation will be sent to you when a signed copy of the rental agreement and the reservation/security deposit is received.  If the deposit and rental agreement are not received within 5 days of the rental request, the owner reserves the right to accept other rental offers on your reserved period of time. Until confirmed, rates are subject to change without notice.

Reservation / Security Deposit:   A deposit of $200 is requested upon booking and is fully refundable, within 14 days of your departure, provided no additional charges are accrued.  Examples of additional charges include, but are not limited to;

  • Damages beyond normal wear and tear.
  • Cost to replace missing items.
  • Replacing lost keys and re-keying locks.
  • Additional housekeeping costs arising from,
    • Delaying maid service with late check-out.
    • Extra cleaning efforts due to cleanliness issues, smoking or pets. 

Payment:   Payments may be made by Check or Credit Card.  Full payment is due 30 days prior to the rental arrival date. If full payment is not made, the owner shall have the right to cancel this engagement by notice to the renter and reserves the right to keep the deposit.  Reservations made on short notice (less than 30 days prior to arrival) require payment in full by a Credit Card for deposit and rental payment. No personal checks will be accepted for short notice bookings. 


Cancellations / Refunds / Hurricane Policy

Cancellations: made more than 30 days prior to check-in will forfeit $60 cancellation fee, Cancellations made less than 30 days prior to check-in, will forfeit deposit ($200).  Cancellations made within 14 days of check-in will forfeit half of the rental amount. Cancellations made within 7 days of check-in will forfeit full rental amount. *However, if the reservation dates are re-rented, all but the cancellation fee will be returned.*

 

Refunds:will not be given for late arrivals or early departures.  The City of Destin is a highly desirable, growing area, and there is a chance that construction may be taking place in the area. There is no way for me to predict or control this.  I will do my best to talk to contractors, but no refunds will be made due to construction related issues.

 

Hurricane Policy:  Deposits and/or rent paid will be refunded if the City of Destin is located within the hurricane warning area, and the National Hurricane Center (NOAA) has issued a mandatory evacuation order. Cancellation or early departure due to any other inclement weather does not warrant any refund of rent or deposit.


 

Check in / Check out

Check-in is 4:00 p.m. (Central time/Destin time).  The unit is inspected for damages upon each check out.  Any damage noticed upon check in should be reported to the owner immediately. If damage is not reported, your deposit may be charged for the cost of the repair.      

You should find the Condo in clean condition.  However, if you find it is not cleaned to your satisfaction please call within 24 hrs of check-in, and the cleaning service will come back and re-clean the unit.  No discount in rent will be given for unsatisfactory cleaning.                                                                                                                     

Linens / Towels / Supplies.  The condo will have basic towels, linens, starter supply of Dishwasher soap, trash liners, bathroom paper and soap. However, guests will need to provide their own laundry detergent *liquid for front loading washers*, additional paper products and household supply items for their stay. 

 

*Check-out is 10:00 a.m. (Central time/ Destin time).  If you have not checked out by 10:00 a.m., a late fee will be deducted from the security deposit.      

**Please do the following before checking-out.**

  • Wash the dishes; clean dishes may be left in the dishwasher, if run with dishwasher detergent.
  • Remove trash and garbage from the unit and place it in the nearby dumpster.
  • Set A/C on 78 F, or heat on 55 F, as applicable. Turn off all lights and appliances.
  • Lock all windows, and outside doors.
  • Leave the unit in a reasonable state of cleanliness. If the unit is left damaged or unusually messy you will be charged additional fees to offset the expense of cleaning or repairs.


Hospitality

No Smoking Policy:  Smoking is strictly prohibited inside the condo.  This assures guests who are allergic to smoke, a guarantee, that condo is comfortable for all vacationing guests.   Failure to adhere to this request violates the hospitality policy.  If any evidence of smoking is found the reservation/security deposit will be retained for the purpose of paying for carpet cleaning and deodorizing.  

No Pets Allowed:  Sorry, no pets are allowed in this Condominium.  Having a pet(s) on the premises during your stay will result in eviction without refund.  If any evidence of a pet(s) is found in the Condominium after check out additional charges for carpet cleaning and flea spray will be applied.     

Quiet Hours:   Quiet hours at Sandpiper Cove are between 10:00pm and 8:00am. 

Parking/Vehicles:  Sandpiper Security requires that a valid guest vehicle pass must be displayed on your driver’s side dashboard at all times while on property.  No trailer may park on the property. It is the responsibility of the vehicle owner to find storage off property.


Keys / Lockouts / Maintenance / Security / Safety


Keys: The condo has three keys.

  • (Key#1) Located in a lock box outside the unit. Use it to get in initially, then return it to it’s exterior location before you checkout.  * The maid will need this to get in after you leave.*        

  • (Keys # 2&3) Located inside the condo in the hall on key hooks, and should be returned to the hooks before you checkout.

 

Lockouts:  If you get locked out Sandpiper Cove Security can let you in.  They charge $25 for this service.


Maintenance:

  • Emergency Maintenance,such as; water leaks and other problems that if not remedied urgently would result in further damage or safety concerns, Call Sandpiper Security at (850) 837-9121
  • Routine maintenance requests contact Pat Sweeney at (770) 843-3632.

 

Security:  At arrival; Security will check identification, issue a parking pass, a code for the beachside gate, and allow entry to Sandpiper Cove.  After that, you will need to call them if any unregistered guests plan to visit.  They will not let anyone on the property that is not on their list.

 

Safety: 

  • For Emergency Services at Sandpiper Cove call, 911 for Police, Fire/Rescue, or Ambulance services.   Sandpiper Security should also be notified at   (850) 831-9121, they are nearby and work closely with Destin Public Safety Agencies.

  • Information regarding surf conditions and water hazards should be obtained daily by checking the flags, or talking with Beach Service personnel at the Sandpiper Beach Pavilion.
